Established in 2012, the Beaufort Group of Companies was created to address an increasing need for retail financial services advice and products. Our aim is to deliver sophisticated financial planning and investment management to individuals and companies in a transparent and value driven manner through partnerships with advisory firms.

The main focus of this role is New client onboarding, novations and agencies, relationship management, income processing and reporting. You will be reporting to the Head of Operations and based in Redhill, Surrey.

New Client Onboarding, Novations and Agencies

  • Create and oversee the migration plan for each new firm with timescales and actions, agree plan with partners and internal customers
  • Monitor and deliver the plan, escalating any issues as and when they arise
  • Keep on-boarding clients and Head of Proposition & Partnerships appraised of progress
  • Keep records of customer and provider interactions, process customer accounts and file documents
  • Make calls to reach out to providers and verify account information
  • Advise on company information and resolve customer queries in a timely and efficient manner
  • Complete provider forms and setup provider/platform agency accounts
  • Manage incoming calls and emails
  • Prepare and process mail merges
  • Follow communication procedures, guidelines and policies

Relationship Management:

  • Be the conduit between partners, advisers and The Beaufort Group and produce monthly reports
  • Be the first point of contact for all queries relating to FE Analytics, Intelligent Office and adviser systems, providing training support where required, reporting any concerns to Integration Specialist, Head of Proposition and Partnerships and Head of Operations
  • Provide a contact point for existing and new partner firms and escalate queries internally where required
  • Chase internal departments on adviser queries where required to ensure we are delivering on SLAs
  • Provide service to internal clients (Sales team) and adhere to agreed SLAs

Income Processing:

  • Income Processing for Beaufort Financial Planning Ltd and Beaufort Asset Management in Intelliflo (Intelligent Office) including processing and allocation of cash receipts, processing client fees, matching statements
  • Reporting or bank data, unmatched and unallocated and income and IO raw data on daily basis
  • Banking cheques, updating bank payment batches, and preparing commission runs including month end processes
  • Timely query resolution of discrepancies and unmatched income working closely with advisers and client administration

Reporting and Sales:

  • Provide monthly reports to the Head of Sales to update the Board and HODs with key actions and progress against business plans – act as the spokesperson for the partners
  • Provide annual and monthly plan for partner services showing growth and progress against targets
  • Working closely with the Sales team, providing support for onboarding, existing clients and adviser growth
  • Harvesting information from linked in to provide reporting and potential pipeline contacts to the sales team
  • Send weekly pipeline reports and onboarding updates to relevant interested parties

Knowledge and experience

Essential:

  • Excellent communication and presentation skills
  • Strong phone contact handling skills and active listening
  • Ability to identify learning gaps in self and suggest solutions to fill those gaps
  • Ability to identify and carry out process enhancements and improvements
  • Desirable
  • Familiarity with a regulated environment is desirable

Experience:

  • Previous experience in office admin essential
  • Working knowledge of Intelliflo an advantage

Education:

  • Diploma of Higher Education (Required)
